Why 78% of Gym Leads Go With Whoever Replies First (And How to Be That Gym)

Your ads are working. Your form is getting filled out. And then most of those leads sign up somewhere else. Here's the uncomfortable truth about why.

Picture this. A 32-year-old woman in your town decides tonight is the night. She's going to get back in shape. She opens Instagram, sees three gym ads in 10 minutes, and fills out the form on all three.

It's 9:47 PM. All three gyms are closed. All three form submissions sit in all three inboxes, waiting.

One gym replies at 9:52 PM, five minutes after she submitted. Another gym replies at 8:15 AM the next morning. The third gym replies at 2:30 PM two days later. Which gym does she sign up with?

You already know the answer. It's almost never the one with the nicest facility or the best price. It's the one that replied first.

The data is brutal

This isn't opinion. Researchers have been studying lead response time across industries for years and the numbers are shockingly consistent.

78%
of customers buy from the first business that responds to their inquiry

Seventy-eight percent. That means if you're replying second, you're fighting over the 22% of leads who didn't just pick the first option. And if you're replying third or later, you're mostly getting the leftovers from businesses too disorganized to have won those leads outright.

100x
more likely to reach a lead when you respond within 5 minutes vs. 30 minutes

Not 10 times. A hundred times. The difference between replying in 5 minutes vs. 30 minutes is the difference between having a conversation and leaving a voicemail that never gets returned.

Why most gyms fail at this

This isn't a character flaw. Most gym owners I talk to understand exactly why speed matters. The problem is operational. You can't reply in 5 minutes when:

The typical gym or solo trainer replies in somewhere between 4 and 24 hours. For leads that came in overnight or on the weekend, it's often 36-48 hours. By then, the person has already signed up at the gym that replied 30 minutes after they submitted.

The lead who fills out your form at 9pm on a Tuesday isn't actually comparing your gym to three others. They're comparing your gym to whichever gym replies before they fall asleep.

"I'll just send a templated email at 9am"

Some gyms try to solve this with autoresponders. "Thanks for your interest! We'll be in touch soon." The lead gets an obviously automated acknowledgment, and then nothing personal happens until the next business day.

This is almost as bad as not replying at all. It confirms to the lead that they've been filed away in a queue. Nobody read what they wrote. Nobody cared that they're terrified of walking into a gym because they gained 40 pounds after a divorce. They got a form reply.

The difference between a generic autoresponder and a personal reply is what actually converts. And the reality is, a human can't write a personal, thoughtful reply in 5 minutes at 9pm on a Tuesday while also running a business.

What actually works

Here's the formula that separates gyms growing by 40% a year from gyms flat or declining:

  1. Respond in under 5 minutes, every time. No exceptions for nights, weekends, or holidays.
  2. Make the response personal. Reference what they actually said on the form. Use their name. Don't send a template.
  3. Have one clear next step. A booking link. A calendar invite. A specific "here's when I'm free this week." Not "let's find a time to connect."
  4. Follow up automatically if they don't respond. Most leads who eventually convert need 3+ touchpoints. One email isn't enough.

For most gyms, doing all four of these consistently is impossible with human effort alone. You'd need a staff member whose only job is to monitor leads 24/7 and write personal emails within minutes. That's a $50K+ salary for something that, if you're honest about it, an owner could automate.

The specific fix

The businesses that win in 2026 aren't the ones with the best facility or the lowest price. They're the ones that never, ever miss the 5-minute window.

If you want to be that business, you need a system that:

That's exactly what we built Delprio to do. Your leads submit a form. Within seconds, they get a warm, personalized email that references what they actually wrote, in your voice, with your booking link. If they don't book, they get an intelligent follow-up a few days later. And another. Until they either book, convert, or tell you they're not interested.

You focus on training clients. We handle every single lead like it's the only one that matters — because to that lead, it is.

Never miss another 5-minute window

See how Delprio responds to every lead in under a minute, automatically and personally.
